Prepare the arrival airport, airline and flight number, scheduled arrival date and time, passenger count, luggage quantity, final destination and a reachable phone number. These details help the team understand the pickup before reviewing the request.
Add child-seat, accessibility, elderly passenger, group travel or other journey considerations where applicable. The online process should be treated as a booking request until the trip details are reviewed and confirmed.

Before departure
Before travelling, reconfirm the airline, flight number, arrival date and scheduled time. Save the LadyBird contact details, keep the booking reference accessible and make sure the supplied phone or WhatsApp number can be reached when you arrive.
Check the final destination address again, especially if the traveller is going to a hotel, home, office or onward city. Communicate significant flight changes as soon as possible so the pickup request can be reviewed with the latest information.

After landing
After landing, complete immigration and baggage collection before following the confirmed pickup communication. Activate the supplied contact number and check for any message about the pickup arrangement.
If baggage is delayed, the arrival arrangement changes or the traveller needs extra time, report the delay through the available contact channel. Follow the confirmed meeting instructions rather than assuming a specific airport meeting point.

Passenger and luggage checklist
Passenger and luggage information helps with vehicle suitability. A single traveller with light luggage is different from a family group, a corporate guest delegation or passengers carrying several suitcases.
Share the number of travellers, approximate luggage quantity and any practical notes that may affect loading, comfort or timing. This helps the team review the request without needing to ask for basic details later.

Family, elderly and group travel
For family, elderly or group travel, include the main contact person, passenger count and any needs that may affect the journey. If someone may need extra time after landing, mention it before the trip is confirmed.
When arranging pickup for someone else, make sure both the traveller and the person managing the booking can access the booking reference and communication details.
